How Often Should an Office Be Professionally Cleaned?

Most commercial cleaning contracts are set once and never revisited, which is how a business ends up paying for five visits a week it does not need, or living with two it has outgrown. Frequency should follow how the space is actually used.

Foot traffic matters more than floor area

A quiet 10,000 square foot office with thirty people in it needs less than a 3,000 square foot clinic with a waiting room. Count the people moving through the space in a day, not the size of it. Then look at what they do there: whether food is eaten at desks, whether the public comes in, whether anyone wears outdoor footwear across the floors all day.

A rough starting point

  • Daily. Anywhere the public comes and goes, food is prepared or eaten, or shift work means the space is never empty.
  • Three times a week. Busy offices, mixed-use commercial space, anywhere with carpeted circulation areas taking constant traffic.
  • Weekly. Smaller professional offices, low visitor numbers, hard floors.
  • Bi-weekly or monthly. Light-use space, storage areas, offices where most of the team is remote most of the week.

Restrooms do not follow the same schedule

Restrooms are the one part of a building where frequency should be set by use rather than by the contract's general rhythm, and they are the first thing staff and visitors judge a building on. In a busy building they may need attention more often than the rest of the space, and it is worth pricing them separately so that decision is not tangled up with everything else.

The initial reset is a separate job

If a space has been on a light schedule for a long time, recurring janitorial work will not recover it. Trying to do the first with the budget for the second is the most common reason a contract feels like it is underdelivering.

Put the scope in writing, with the exclusions

The arguments in commercial cleaning are almost never about quality. They are about whether something was in scope. Get the visit schedule, the room-by-room task list, who supplies consumables, and what is specifically excluded all written down before work starts. We do this as standard, and it is worth insisting on whoever you use.

Signs the frequency is wrong

  • Restrooms run out of supplies between visits.
  • Carpets in circulation areas show traffic paths that do not lift.
  • Staff have started keeping their own cleaning supplies at their desks.
  • Hard floors have lost their finish in the doorways and main routes.
  • You are booking one-off catch-up cleans on top of the contract.
